We recently received a request from one of our customers, to help organise an out-of-town simultaneous interpreting service in a combination of Polish, Ukrainian and English, for which they requested conference equipment and technical support.
They are an international supplier in terms of research, consulting and communication services, operating in 150 countries and employing over 600 people. The event was held as part of an initiative by the committee and international organisations for coal regions in transition in the Western Balkans and Ukraine.
Our task was to organise an out-of-town interpreting trip with delegations from Poland and Ukraine, lasting 3 days. The interpreted meetings were held in Poland, in various places and cities, using several conference rooms. A key element of the project was the assignment of 4 conference interpreters, speaking three languages: Polish, English and Ukrainian. The project also included technical support for the entire event and the provision of equipment necessary for away and on-site interpreting in several locations, which was also an interesting challenge. Moreover, they wanted the interpreters to be available throughout the whole event.
Proposed solutions:
– specifying their exact requirements for the organisation of the event, including: determining the number of guests, the number of interpretation booths, audio and tour guide sets needed and their location on each day, as well as clarifying the scope of tasks and the interpreters’ working methods;
– identification of a project manager who could oversee the preparation of the project and then, throughout the project, remain in constant contact with the customer, interpreters and technicians responsible for the conference equipment and tour guide sets;
– verification and involvement of a team of experienced interpreters, with the prerequisite of knowing 3 languages, i.e. English, Ukrainian and Polish;
– preparation of a plan for the deployment of conference equipment on each day and the locations of the event, including the transport of interpreters during the project;
– preparation of an individual offer that includes interpretation, conference equipment and technical support for the event;
– constant contact with the project manager, who supervised the smooth implementation of the project over the 3 days and responded on an ongoing basis to any needs reported during the event, such as the urgent provision of an additional booth for simultaneous interpreting at the place indicated by the customer.
The order was completed successfully, and the customer expressed satisfaction with the services we provided as well as the quality of the interpretation, conference equipment and technicians. The order was a considerable organisational and logistical challenge, but thanks to the quality of the partnership and efficient communication between our team and the customer’s representatives, everything was completed without any problems.
