A few months ago, we were approached by a well-known brand producing high-quality cosmetics – from perfumes and skincare products to colour cosmetics. The history of this luxury perfume house dates back to 1828. Over the past 195 years, the brand has created 1,100 fragrance compositions, many of which are still in production today. The company is currently part of the Moët Hennessy Louis Vuitton (LVMH) group.
They were in need of professional creative translations for their products – descriptions of cosmetic products, ingredients, user instructions, as well as internal documentation, legal documents and content for their website. They were also interested in establishing a long-term collaboration with a single supplier for all the language combinations they required. Given the unique industry, international reach, and the nature of the business, perfection in translations was a prerequisite. For this purpose, we were asked to provide sample translations in several language combinations. Client also wanted to use an application that would allow the sending of orders and global access to all completed translations.
Our initial discussions largely revolved around understanding their requirements. The aim was to analyse the brand’s specificity and its experiences in working with previous translation agencies. We received very precise instructions concerning service conditions, required quality, and the scope of the services to be performed.
At their request, we performed sample translations in the following language combinations: English, Polish, Romanian, Slovak, and Hungarian. Based on the samples received, they evaluated the quality of our translations. Using the feedback obtained, we created a permanent, dedicated team of translators that met their brand’s quality requirements. They were all approved.
The next stage of the discussions involved creating an individual pricing offer, covering the specified languages. The prepared price list also included additional translation services, such as linguistic proofreading: independent review and correction by a native speaker, and DTP graphic processing. Our pricing proposal was also accepted.
Another condition for starting the process was providing the company’s employees with access to the Customer Portal, an application enabling insight into prepared estimates, orders in progress, files with completed translations, and issued invoices. As they requested, an option to prepare an estimate along with sending files for translation and the possibility of accepting the cost estimate was launched in the Customer Portal. Through this, they could also contact the Customer Cooperation Department. At their request, 5 separate accounts were set up and launched to allow their employees to work directly with Skrivanek.
Given the nature of the documents entrusted to us, maintaining confidentiality and information security was a crucial issue. This subject is addressed based on our General Terms of Cooperation and ISO 27001 certification. At their request, we also created a permanent team based on our employees: project managers and a customer care manager, who, knowing their requirements and expectations, can efficiently coordinate the execution of the orders.
The proposed solutions, documented experience, presented pricing offer, access to the Customer Portal, and above all, the evaluation of sample translations, were accepted by the client, who expressed a desire to establish cooperation. Over the past few months, we have completed dozens of translation projects for them.
